The new Staff Portal is launched – an intranet for precision communications

COMMUNICATIONS. The university’s new intranet is now open! The intranet will still be known as the Staff Portal (Medarbetarportalen), just like before, and you can continue to access it using the same link. New features are that the content is more personalised to you, and you will need to log in to read it.

The new Staff Portal is built in SharePoint. As a member of staff, you log in using your xkonto account, and that takes you to a personalised home page with content selected to be relevant to you. You get to choose the tools you want easily accessible on your home page. The focus of your home page will be information from your department, but it also gives you an overview of news at faculty and university level. During a transition period, it is possible to visit the old Staff Portal – the address for it is www.medarbetarportalen2.gu.se.

Get into the habit of logging into the new Staff Portal every day. It’s fairly easy to make the Staff Portal your browser home page too. Explore the mega menu at the top as that’s where you’ll find most of the wide-ranging content. If you are looking for other information, the Staff Portal comes with a powerful built-in search tool.

Precision communication

The launch of the new Staff Portal will bring major changes for Sahlgrenska Academy’s internal communications. You will see a dramatic drop in the number of mass emails. Information that used to be sent out by email will now be in the Staff Portal as news items or calendar events and addressed to the right target group from the very start. The flow of information will be more efficient and we will avoid the same information being duplicated on several sites.

All content in the Staff Portal will now be behind an xkonto account login. This is so that the content can be personalised. If you don’t have an xkonto account, please contact your department. Please note that you will also need to have a gu email address to log in. If you have an older xkonto account without a gu email address, you will need to get one.

Work is underway to create solutions so that external people who contribute to activities in various ways can also obtain the information they need to do their job.

The Akademiliv newsletter will continue to arrive in your mailbox, keeping you up to date with everything going on in other departments in the faculty. The Akademiliv website will stop, but not until after the summer.

“We’ve been running the Akademiliv website for more than ten years now. The technology behind the website is out of date and it doesn’t meet accessibility requirements, for example. The new Staff Portal means we can create more consistent internal communication for the faculty,” says Elin Lindström, communications officer at the Sahlgrenska Academy Office, who coordinates the faculty’s internal communications.

Akademiliv website to close

From the autumn semester 2024, content on the Akademiliv website will no longer be updated. Instead, news will either be published on the Staff Portal, behind a login wall, or openly on the department’s website, depending on whether the news is of interest to an external readership. The content on Akademiliv will remain up for some time to come and will thus serve as an archive. Eventually, however, the site will be taken down completely.

The internal calendar is already being transferred to the new Staff Portal. This means that the calendar in Akademiliv has been discontinued. Information on what to do to transfer your calendar events into the Staff Portal calendar was announced at the beginning of March.
