What is the election for?
The election is for the role of pro-dean of Sahlgrenska Academy. The pro-dean is the dean’s deputy and, like the dean, is appointed by the Vice-Chancellor. The election is advisory and provides the Vice-Chancellor with additional information for choosing the pro-dean.
How will the election be held?
The election will be held via an electronic voting process through the University’s survey tool, Sunet Survey. On February 21, all eligible voters will receive an email. It will be sent from “GU – enkät-survey”. The email will contain a unique link for each voter. The link leads to a webpage, which is equivalent to a ballot, where your vote is submitted.
The ballot can be completed on a computer, tablet or mobile phone. The ballot can be completed from February 21–March 4, 2022. The election closes at 11:59 pm on March 4.
How secure is online voting?
The University’s survey tool, Sunet Survey, is used for the election. The “anonymous respondent survey” feature will be used. This means that respondents will be anonymous, and it will not be possible to see how individuals respond. The link between the voter and their choice is broken (which happens when voting), and it is not possible to re-create this link at a later time.
If I am anonymous, then how can I receive a reminder to vote?
The system keeps track of whether or not a respondent has voted. Thus, the system can send out a reminder to those who have not voted. This is comparable to traditional voting, where a list shows which eligible voters have or have not voted.
Are there rules for the election?
The University’s rules of procedure define the framework. Information and instructions on how the University’s internal elections are to be designed and implemented are published on the University’s website https://medarbetarportalen.gu.se/Electronic+support+for+internal+elections/
Who may vote in the election?
Eligible voters include all employees in the faculty whose employment is at least 50% of full-time and who have a permanent position or a position spanning at least two consecutive years.
What will the response options be?
It is possible to vote yes, to make your own suggestion (no), or to vote blank. Thus, there are three possible responses.
I want to suggest someone for the assignment of pro-dean. How do I do that?
Click on the option “NO. I have my own proposal that differs from the nominating committee’s proposal”. A response box will pop up in which you enter the name of your proposal for the assignment of pro-dean (enter first name and surname). Note that you must enter the name in this box. The system will not permit you to submit an empty box. The person you propose as pro-dean must be eligible. To be eligible, the person must be employed by the University, the employment must be at least 50% of full-time, and the position must be permanent or span at least two consecutive years. The proposed individual must also be academically qualified. If the individual is not eligible, the vote will be considered invalid. The individual should also be asked if you may propose them.
I want to vote ‘no’ to the nominating committee’s proposal, but I do not want to suggest another person. How do I do that?
If you do not support the nominating committee’s proposal, you must suggest another candidate. The election is advisory, and the purpose is to propose possible candidates. If the individual you enter is not eligible, your vote will be considered invalid.
What does it mean to vote blank? How are blank votes used when the results are compiled?
If you vote blank, you are showing that you want to participate in the election, but that you do not have a suggested candidate.
Why is it important to vote in an election with only one candidate?
A high level of participation and a clear election result gives the Vice-Chancellor a good basis for a decision.
When will we know the results of the election?
Voting will close at 11:59 pm on March 4. The ballot record will be prepared on March 8, after which the results will be given to the Vice-Chancellor and published on Akademiliv. Note that the election is advisory, and the Vice-Chancellor will make the final decision.
When will the new pro-dean take office?
The Vice-Chancellor will determine the date for the newly appointed pro-dean to take office in agreement with the new pro-dean.
Who arranges the election?
The faculty board’s nominating committee is tasked with arranging the election. This includes developing an election plan, composing a list of possible candidates in consultation with the Vice-Chancellor, confirming the list of eligible voters, preparing the ballot record, and communications.
