Small changes in remote work regulations

13 December, 2022

VICE-CHANCELLOR’S DECISION. When regulation for remote work for technical and administrative staff was updated in the autumn of 2021, it was decided that the new routines must be evaluated and potentially revised before they would be extended for another year. Now the process of evaluation is done, and updated regulations will be in force from January 2023. The regulations for remote work and temporary work from home apply for university’s technical and administrative staff.

Overall, results of the evaluation show that the remote work in accordance with the regulations has functioned well in practice, and only minor revisions are needed. On December 1, 2022 the updated regulations were adopted by the vice-chancellor.

One of the changes means that individual agreements for remote work can now be either temporary or open-ended. However, a yearly follow-up, for example during the yearly developmental talk, is still needed for individual evaluation of remote work in practice. This is done to ensure that what is agreed in the individual agreement continuous to work well for both the employee as well as the university. Individual agreements can from now on be terminated after two weeks’ notice.

The other important change concerns an option to extend the maximum extent of remote work in specific circumstances. This provision will be applied very restrictively, based on principles by the vice-chancellor. All exceptions will be approved by the HR manager on request by a faculty dean.

These changes are based on the overall conclusions of the evaluation of remote work regulations carried out in November 2022. The evaluation process included surveys for managerial, administrative, and technical staff, interviews with managers and consultations with employee representatives.

More on remote work

  • More information can be found on Staff portal. (Swedish only)

Remote work is regulated by policy Riktlinjer avseende distansarbete och tillfälligt hemarbete för teknisk och administrativ personal (earlier version GU 2021/2928, current version GU 2022/3329). The document is available from Staff portal page Policy, rules and plans, under heading Human Resources. The policy will be translated into English in near future.

  • The form for individual agreement (Blankett för överenskommelse om distansarbete) can be found on Staff portal page Templates-Personal, under the heading Övrigt. The form for agreement is in Swedish language only.
  • A summary of survey results that was part of the evaluation process can be found here.
