Election of new Faculty Board – FAQ

22 May, 2018

ELECTION OF NEW FACULTY BOARD. Here you find answers to common questions regarding the election.

Which positions is the election for?
The election is for eight permanent members and two reserves on the Faculty Board (that is, the Academy Board). The Students’ Union will appoint three additional members, who represent the students and doctoral students.

What does it mean to be a reserve on the Faculty Board?
With a reserve waiting list, the faculty can avoid by-elections in the event of a vacancy on the Board of Directors. The reserves are not substitutes that can jump in for other members when they are unable to attend individual meetings. The Faculty Board may call in designated reserves to the board by giving them a right to attend and speak at board meetings.

Who can vote in the faculty election?
All employees within the faculty, with the exception of doctoral students, have the right to vote. Employment, however, must comprise at least 50 percent of full time and be an appointment that is until further notice or that comprises at least two years of continuous employment. A leave of absence does not disqualify an employee from participating in the election.

Why don’t doctoral students have voting rights?
Representatives for doctoral students are appointed by the Students’ Union. Therefore, doctoral students do not have voting rights as employees.

When does the nominating committee present its proposal?
The nominating committee, consisting of eight members and two reserves, will make its presentation in a special informational mailing to all employees at the faculty on Tuesday, May 22. The proposal will also be posted in Akademiliv.

How does one vote electronically?
Votes are cast in the University of Gothenburg’s web survey tool, Sunet Survey. If you are eligible to vote, you will receive an email from the address “Göteborgs universitet – enkät-survey”. The message contains a link that is unique for each person who is entitled to vote. The link leads to a web page, the equivalent of a ballot, in which voting takes place. It’s possible to vote by computer or mobile phone.

Can I be sure that I can vote anonymously and securely with the new electronic election system?
The web tool used for the election meets security requirements. The anonymous respondent survey that is used makes it impossible to track who has responded. Nor is it possible to create a connection between an individual and his or her vote. More information about how electronic elections take place at the University of Gothenburg is available at the Staff Portal:http://medarbetarportalen.gu.se/elektroniskaval/

When will I receive my ballot?
Because the election is carried out electronically, no ordinary ballots will be distributed. All those entitled to vote will instead receive an email containing a link to a web page, the equivalent of a ballot, in which voting takes place.

When can I vote?
The election is carried out between June 1 and June 14, 2018. You can cast your vote as soon as you receive the link to the ballot in your email. No votes will be accepted after 11:59 pm on June 14.

How do I make my choice?
The question to vote on is: “Do you support the nominating committee’s proposal?”, which can be answered with:

  • YES = I support the nominating committee’s proposal
  • NO = I have a proposal that partially or completely differs from the nominating committee’s proposal
  • BLANK = blank vote

If you vote YES or BLANK, it is sufficient to make your choice and submit it. If you vote NO, you must enter a complete proposal in order for the vote to be valid. This proposal can be partly based on thenominating committee’s proposal of candidates, in which you replace one or more names, or be a completely new proposal. PLEASE NOTE that the proposal must contain ten different named, eligible (electable) candidates, including eight candidates for assignments as members and two candidates to be reserves. The candidates should have been consulted and have accepted the assignment.

I have one or more proposals of my own that I think should be submitted to the board; what should I do?
You can vote on your own proposal. PLEASE NOTE that your proposal must be complete (it must contain eight different named candidates as members of the board as well as two different named, ranked candidates as reserves). You may supplement your proposal with names from the nominating committee’s proposal or present ten completely new names. The candidates you present must be eligible (electable) and consulted and should have accepted the assignment. If your proposal does not conform to the rules, the vote becomes invalid.

Who is electable as a member of the Faculty Board?
Electable persons are employees within the faculty and its institutes, provided that the following two conditions for employment are met:

1) the employment must comprise at least 50 percent of full time

2) the employee is appointed until further notice or has an appointment that comprises at least two years of continuous employment

Those electable are the people that are included in the faculty’s register of voters. A copy of the faculty’s register of voters is available at the respective institute.

Who are the members of the nominating committee?

  • Vice chairperson: Jovanna Dahlgren, Institute of Clinical Sciences (dahlgren@gu.se)
  • Kajsa H Abrahamsson, Institute of Odontology (henning.abrahamsson@odontologi.gu.se)
  • Claes Gustafsson, Institute of Biomedicine (gustafsson@medkem.gu.se)
  • Elias Eriksson, Institute of Neuroscience and Physiology (eriksson@neuro.gu.se)
  • Anders Jeppsson, Institute of Medicine (jeppsson@gu.se)
  • Eva Sjögren Nilsson, Institute of Medicine (sjogren-nilsson@gu.se)

One seat on the nominating committee has been vacant since the end of April. The vacancy is due to the fact that the member (Karin Ahlberg, chairman of the nominating committee) has been named head of the Institute of Health and Care Sciences, effective July 1, 2018. A new member of the nominating committee will be appointed by the Faculty Board on June 13.

When will we know the results of the election?
The election results will be ready when votes are counted, election officials have signed a record of the vote count and this is approved. Information on the results of the election will be provided through a special informational mailing to all employees at Sahlgrenska Academy and will be posted in Akademiliv and on Sahlgrenska Academy’s web site.

When will the newly elected Board of Directors be installed?
The term of office of the next Faculty Board of Sahlgrenska Academy (the Academy Board) begins on July 1, 2018.

Whom should I contact if I have questions?

  • Jovanna Dahlgren, acting chair of the nominating committee (dahlgren@gu.se
    or 0702-750233).
  • Other members of the nominating committee also can answer questions (for the names, see above under “Who are the members of the nominating committee?”).
  • Jan Rubensson, associate head of the Faculty Office (rubensson@sahlgrenska.gu.seor +46 (0)31-786 3587).
